This Policy explains how Trip4Pro collects, uses, and protects information in the course of providing a B2B marketplace workflow for travel agencies and service providers.
1. Who We Are and What This Policy Covers
Trip4Pro is a business-to-business platform designed to connect travel agencies (and similar client-side businesses) with service providers (such as accommodation, transportation, activities, flights, and cruises). This Policy applies to information processed when you visit our site, register an account, or use platform features such as service requests, quotes, messaging, notifications, and administration tools.
Trip4Pro does not sell travel services directly and is not a licensed travel agency. Providers and agencies remain responsible for their commercial agreements and for complying with applicable laws.
2. Information We Collect
We collect information needed to operate and secure the platform, provide features, and support compliance and auditing. Depending on your use of the platform, this may include:
- Account data: name, email address, password (stored securely), company name, phone number, country, role type.
- Profile data: profile image, biography, website, address fields, languages, specializations, certifications, and social links (as provided by you).
- Platform activity: service requests, submitted quotes, acceptance/rejection actions, point usage, and other workflow events.
- Messaging and content: messages and attachments exchanged through the platform, subject to retention and security controls.
- Technical data: device/browser metadata, logs, timestamps, and security signals used to detect fraud and abuse.
3. How We Use Information
We use information to:
- Provide account access and authenticate users.
- Operate the request/quote workflow between Agencies and Providers.
- Enable messaging, notifications, and platform activity tracking.
- Administer points/packages and platform settings (where enabled).
- Process payments for packages/points through configured payment providers (such as Stripe and/or PayPal), where enabled by administrators.
- Monitor for security, troubleshoot errors, prevent abuse, and enforce platform rules.
- Comply with legal obligations and respond to lawful requests.
4. Real-Time Features (Optional)
Trip4Pro may optionally support real-time notifications or messaging updates when configured (for example, using Pusher). If enabled, events such as new messages, typing indicators, or status changes may be processed through the configured real-time provider. Real-time delivery is dependent on configuration and network conditions and is not guaranteed.
5. Payments and Financial Data
When payments are enabled, transactions are processed by payment providers configured in the platform (for example, Stripe and/or PayPal). Trip4Pro does not store full payment card details. The payment provider may collect and process payment information according to its own privacy policy and terms. Trip4Pro may store payment status signals (e.g., transaction identifiers, timestamps, package identifiers) required to manage access and reconcile platform records.
6. Sharing and Disclosure
We share information only as needed to operate the platform:
- Between Users: Agencies and Providers may see profile and workflow information necessary to respond to requests and evaluate quotes. Guest-facing views may limit or mask contact details.
- Service providers: hosting providers, email delivery services, analytics/security tooling, and payment processors—only to the extent required to provide the platform.
- Legal and safety: to comply with law, protect rights, prevent fraud/abuse, and enforce these policies.
7. Data Retention
We retain information for as long as necessary to provide the platform and for legitimate business purposes such as security, audits, dispute handling, and compliance with legal obligations. Retention periods may vary depending on the data type (for example, security logs may be retained differently from profile information).
8. Security Measures
We implement reasonable technical and organizational measures to protect information, including access controls, secure credential storage, and monitoring. However, no method of transmission or storage is completely secure. You are responsible for maintaining the security of your account credentials and for using appropriate security measures within your organization.
9. Your Choices and Rights
Subject to applicable law, you may have rights to access, correct, delete, or restrict the processing of your information. Within the platform, you can typically update profile details and account settings. For requests that cannot be handled in the UI (for example, account deletion requests), please contact us using the Contact page.
10. Cookies and Similar Technologies
Trip4Pro uses cookies and similar technologies necessary to keep you logged in, maintain session state, and protect the platform. Additional cookies may be used for preferences and performance depending on configuration.
11. International Use
Trip4Pro may be accessed from multiple countries. Information may be processed in jurisdictions different from yours, subject to appropriate safeguards and applicable law.
